Cancellations & Refunds


OpenGround's programs are built around genuine commitment - yours to the program and the practice, and ours to you. When you register, your place is held and costs are committed: teacher preparation, materials, catering, and in the case of retreats, venue fees that are locked in well in advance. Our cancellation terms reflect that reality, while leaving room for the unexpected turns that life sometimes takes.

Multi-Week Courses (2-8 Weeks)

Our refund policy for multi-week courses (2-8 weeks):

  • If you cancel before the first session, you'll receive a full refund less a $50 administration fee (plus a $50 fee if you have already had your pre-course interview with your teacher).
  • If you cancel within 5 days after the first session (before session 2) you can transfer to a future course or you can opt for a 50% refund.
  • After Session 2 there is no automatic refund, though you may transfer to a future course date at a 50% discounted rate for the next course.

Medical emergencies or significant life crises considered individually.

Workshops & 1-Day Events

Our refund policy for workshops & 1-day events:

  • If you cancel more than 7 days before the event, you'll receive a full refund less $30.
  • If you cancel within 7 days, there is no automatic refund.

Where possible, you're welcome to transfer your place to a friend or colleague at no charge - just let us know.

Medical emergencies or significant life crises considered individually.

Residential Retreats

Our refund policy for residential retreats:

  • If you cancel more than 4 weeks before the retreat begins, you'll receive a full refund less a $110 administration fee.
  • If you cancel between 4 weeks and 2 weeks before the retreat, you'll receive a 50% refund.
  • If you cancel within 2 weeks of the retreat, there is no automatic refund.

If you can find a substitute participant, we'll refund your fee less the $110 administration fee.

If you are unable to attend the retreat due to having COVID or the need to self-isolate, then you will have the choice to receive a refund minus $100, or transfer to another retreat. However, if the notification of your non-attendance is very late, we may have to charge you for the catering and/or the accommodation fee as well (if Openground is charged for this).

If the retreat is going ahead, but you decide not to attend for your own personal reasons, then you will not be eligible for a refund. Also, please note that OpenGround is not responsible for your travel arrangements that may or may not be impacted by attending the retreat.

Compassionate and life-crisis circumstances (All programs):

We understand that life doesn't always cooperate with good intentions. Serious illness, bereavement, family crisis, or other circumstances genuinely beyond your control are considered individually and generously. Please contact us - we'd rather find a solution than leave you feeling stuck. This discretion sits with Caroline and the team and is not subject to the timelines above.

If OpenGround cancels:

If we cancel a program due to insufficient enrolment or any other reason, you'll receive a full refund within 5 business days. We're not responsible for travel or accommodation costs you may have incurred.
